RogalMail — Email Simplified

Policies

Acceptable Use Policy

Effective October 18, 2026

1. Permission is mandatory

RogalMail permits marketing email only to recipients who have expressly and affirmatively requested that particular sender's marketing messages. Use confirmed opt-in: the recipient signs up voluntarily and confirms the address or otherwise provides directly verifiable, documented confirmation of consent. Keep the date, source, form language, and confirmation evidence. If you cannot demonstrate permission, do not send. An existing customer relationship by itself is not sufficient under this policy. You must also satisfy any stricter applicable legal requirements.

2. Lists we prohibit

Do not send to purchased, rented, borrowed, harvested, scraped, copied, appended, or traded lists; scraped social media contacts; contacts sourced from publicly posted addresses; co-registration lists without direct, informed permission for your specific sender; or addresses collected through misleading, prechecked, or bundled consent. You may not import an old list if consent cannot be substantiated. You may not resubscribe a person who unsubscribed, bounced, or complained by reimporting or altering their address.

3. Every message must be legitimate

Use accurate sender names, headers, reply-to addresses, and subject lines. Identify your organization, provide a valid means of contacting the sender, and do not conceal your identity. Every marketing email must include an obvious, functional unsubscribe option. Honour unsubscribe requests promptly and do not require login, payment, or unnecessary personal information to opt out. Never send to suppressed addresses. You must comply with Canada's Anti-Spam Legislation (CASL), the US CAN-SPAM Act, applicable privacy and consumer laws, and the regulations where your recipients are located. RogalMail's stricter confirmed-opt-in rule still applies where law might otherwise permit unsolicited marketing.

4. Prohibited content and behaviour

You may not use RogalMail for phishing, malware, impersonation, fraud, deceptive earnings claims, illegal goods or services, harassment, hate or threats, unauthorized disclosure of personal data, infringing content, or messages that encourage unlawful conduct. Do not evade caps, suppression systems, domain verification, technical limits, or abuse detection. Do not use deceptive links, URL shorteners intended to hide destinations, or content designed to mislead recipients about who is sending or why.

5. Deliverability and sender requirements

Only use domains you control or are authorized to send from. Set up required domain authentication and maintain working reply-to and unsubscribe mechanisms. Keep lists clean and remove invalid or inactive addresses as appropriate. Bounces, complaints, and unsubscribes result in permanent suppression at the applicable account or platform level. You must not attempt to bypass these suppressions. We may restrict throughput or investigate high bounce or complaint rates even before an explicit numerical threshold is reached.

6. WooCommerce and abandoned-cart messages

Abandoned-cart flows, where enabled, are marketing unless clearly exempt under applicable law. RogalMail requires confirmed marketing opt-in for recipients of those flows. A cart visit or unfinished purchase does not itself establish permission. Inform users how their information is used.

7. Investigations and immediate suspension

We may request signup forms, timestamps, confirmation logs, sample content, sending-domain evidence, and unsubscribe procedures. We may pause imports or sending while reviewing a risk. For suspected spam, purchased lists, forged identities, complaints, attempts to evade suppression, or serious policy violations, we may immediately suspend sending and account login, without advance notice, to protect recipients and the shared sending infrastructure. We may terminate repeat or severe offenders, preserve evidence, or report unlawful activity where appropriate.

8. Reporting and contact

If you receive unsolicited mail through RogalMail, use the message's unsubscribe link and report concerns through our contact page, including the sender and message details. We investigate credible reports. Questions about permitted sending can also be submitted there.

9. Policy updates

We may update this policy to reflect laws, abuse patterns, and provider requirements. The current version on this page applies from its stated effective date, subject to notice requirements under our Terms of Service.
